St. John's Episcopal Church Facility Use Policy

St. John's  has enhanced its commitment to hospitality by adopting a "Facility Use Policy" that encourages utilizing and sharing our facilities while maintaining responsible stewardship of our valuable assets.

The facilities of St. John's Episcopal Church exist for the primary purpose of being used by its members through its ministries.

Requests for building use will come for approval to the Vestry.

The Priority of Use Shall Be As Follows:
1. Recognized Groups Within the Church:

  • Church Services- (i.e. worship services, Sunday school, adult  and children’s education, mission-related events)
  • Regularly scheduled church activities- (Committee meetings, and small group meetings related to church ministries)
  • Ministries within the Diocese of Vermont

2. Church Members

  • Weddings, Funerals, Memorial Services and Receptions which follow these services.
  • Anniversary Receptions

3. Service Organizations or other Non-Profit Groups Outside the Church
Outside groups that are non-profit and agree to abide by this Facility Use Policy will be considered  the Vestry  as space limitations and custodial services allow.

On-going support groups that we host (such as Alcoholics Anonymous) will be allowed to request space without a church member present in the group.

There are no fees for church or Diocesan groups using the facilities.

In addition to these charges, there will be:

  1. $10 fuel surcharge for events December through March
  2. $25 custodial fee for events involving more than 25 persons

Making a Reservation
Parish activities will have a top priority.

Parish events and church-related meetings may be scheduled in advance as early as they wish.

Calendar/Event Request Forms must be completed by all groups and submitted to the Vestry or Rector. Calendar/Event Request forms are available in the church office or on our web site.

Outside groups may submit a Calendar/Event Request Form no earlier than 3 months ahead and no later than 1 week before the event. Once approval is granted, every effort will be made to honor our commitment; however, unplanned church events such as funerals and memorial services may require changes to this commitment.

Hold Harmless Agreement:
In consideration of St. John's Episcopal Church allowing its building to be used by the leaser, the leaser hereby releases, forever discharges, and agrees to hold harmless St. John's Episcopal Church, its Rector, Officers, Agents, Employees and Members from any and all liability, claims or demands for personal injury, sickness or death, as well as property damage and expenses, of any nature whatsoever which may be incurred by the leaser that occurs while said leaser is using St. John's Episcopal Church’s facility. The leaser further hereby agrees to hold harmless and indemnify St. John's Episcopal Church, its Rector, Officers, Agents, Employees and Members for any liability sustained by said acts of the aforementioned parties, including expenses incurred attendant thereto.

Additional guidelines to be followed include:
Smoking, illegal substances, and weapons are not permitted in the buildings or on the grounds of the church.

Users are expected to leave the building reasonably clean and in the same condition it was in prior to the event and must remove all items including any food associated with their program immediately following the event.

Please use ONLY the designated rooms you have reserved. It may appear that an empty room is available, but in reality it may have been prepared for another group later in the day/evening or the following day.

The user assumes liability for injuries to persons attending the event and for damages or loss of user's property.

Dining or the serving of food is limited to pre-approved designated areas, and activities and programs are limited to the space that is assigned.

All messages distributed via the E-Tree will be church related and reviewed by church staff prior to release. All e-mail addresses subscribed to the E-Tree will be kept confidential.
